Improving documentation efficiency across enforcement and project delivery

Overview

Rhondda Cynon Taf County Borough Council (RCT) has been working with Sgript as part of its live trial programme, exploring how structured, AI-assisted documentation can support both frontline and operational teams. The focus has been on reducing the administrative burden associated with transcription and meeting documentation, while maintaining clear, auditable outputs.

The Challenge

Teams across RCT were spending a significant amount of time converting conversations into formal records.

For enforcement officers, this meant manually transcribing recorded interviews and preparing documentation. For project managers, it involved capturing meeting discussions, structuring minutes, and distributing outputs to stakeholders.

These processes were time-intensive and often diverted attention away from core responsibilities.

The Approach

Sgript was introduced to support the capture and transformation of information directly from source material, including recorded interviews and Microsoft Teams meetings.

Using structured templates, the platform enables teams to organise key information such as actions, risks and outcomes, producing consistent and auditable documentation with minimal manual effort.

The Impact

Reduced Transcription

Enforcement officers within Rhondda Cynon Taf County Borough Council have reduced transcription tasks with a four times saving, the MP3 audio interviews would typically take four hours on average to transcribe and turn into documentation, this work is now completed in under an hour.

Streamlined Meeting Documentation

In Rhondda Cynon Taf, Project Managers are using Sgript to turn Microsoft Teams meetings into structured project minutes, capturing progress, actions, risks and issues. This saves at least an hour per meeting and creates clear, auditable outputs with minimal human review.

Reduced Administrative Overhead

Project managers in RCT have a portfolio of projects usually around five projects each and run a weekly schedule indicating a very conservative saving of five hours a week per Project Manager, allowing focus on progress rather than information capture.

Outcome

RCT's use of Sgript demonstrates how structured, template-driven documentation can be embedded into day-to-day operations.

By reducing the effort required to produce accurate records, teams are able to maintain high-quality, auditable outputs while improving efficiency across both frontline and project-based work.
